PERSONAL INFORMATION WE COLLECT
The information we collect depends on how you interact with Aligned Admin.
Contact and account information
This may include your name, email address, business or brokerage name, role, account details and information you provide when requesting enrolment or support.
Purchase and billing information
This may include products purchased, order details, billing information, transaction records, subscription status, refund requests and payment status made available through our payment services.
Learning information
For courses and the Practical Video Library, this may include enrolments, access dates, lesson activity, progress, quiz results, assignment submissions, feedback and completion records.
The information available varies by product and platform. A course-completion record does not establish professional competence or authorization to perform licensed activities.
Communications and participation
This may include enquiries, emails, mentorship messages, community posts, comments, reactions, support requests, survey responses and feedback you choose to provide.
Resource-access information
This may include the Google account email used to authorize access, sharing permissions, access requests and resource activity made available through Google’s services.
Technical information
Our website and service providers may collect information such as IP address, browser and device information, cookies, access logs, security events and interactions with pages, embedded videos or other content.
We collect information directly from you, through the platforms used to deliver our services and, where applicable, from a purchaser arranging access on your behalf.
HOW WE USE PERSONAL INFORMATION
We use personal information for reasonable purposes connected with operating Aligned Admin, including:
• Processing purchases and maintaining transaction records.
• Creating accounts and providing purchased access.
• Administering subscriptions, cancellations and refunds.
• Authorizing access to restricted digital resources.
• Delivering courses, demonstrations, assignments and feedback.
• Recording progress and issuing completion certificates.
• Providing mentorship and responding to support requests.
• Operating and moderating communities.
• Administering agreed group or brokerage arrangements.
• Sending receipts, access instructions and service notices.
• Understanding and improving our resources and services.
• Sending marketing communications where permitted.
• Protecting accounts, investigating misuse and resolving disputes.
• Meeting applicable legal, accounting and recordkeeping obligations.
We do not require consent to unrelated marketing as a condition of purchasing educational resources or receiving necessary customer support.
COURSE AND VIDEO LIBRARY INFORMATION
Thinkific hosts our learning products and makes certain account, enrolment, activity and completion information available to Aligned Admin.
The Foundations & Operations Program may involve quizzes, scenarios, assignments, instructor feedback and completion requirements.
The Practical Video Library provides recorded demonstrations. Depending on the available platform features, we may receive information about lesson access or progress. We do not represent that every video interaction is tracked or visible to us.
Videos may be delivered through Thinkific, Loom or another identified video service. Embedded players may process technical and viewing information under their own privacy practices.
Use fictional or appropriately anonymized information in practice exercises and assignments. Do not upload real client files, signed contracts, identity documents, candidate records or other confidential third-party information.
Where a certificate or confirmation is issued, it may contain the learner’s name, course title and completion information.
DIGITAL PRODUCTS AND GOOGLE DRIVE ACCESS
Some purchases include a downloadable How to Start guide linking to resources in Google Drive, Google Docs or Google Sheets.
We may use your Google account email to grant, maintain or remove access in accordance with your purchase. If it differs from your purchase email, we may ask you to confirm the correct account.
Accessing a shared Google resource may make account information or activity visible through Google’s interface, depending on the resource and its settings. Do not assume that a shared resource provides anonymous access.
Make private working copies before adding business, employee, candidate or client information. Do not enter that information into Aligned Admin’s shared master documents.
Information you add to your own copies is generally managed through the accounts and permissions you control. Aligned Admin does not automatically receive access to those copies. If you share a working copy with us, its contents may become accessible to us.
MENTORSHIP AND COMMUNITY PRIVACY
Thinkific Community
Your profile information, posts, comments and other shared contributions may be visible to members with access to the relevant community.
Slack
The Aligned Admin Slack workspace provides member-support channels and direct messaging. Other workspace members may be able to see your display name, profile details, shared-channel participation and other information permitted by Slack’s features and workspace settings.
Posts in shared channels are visible to people with access to those channels. Direct messages have a more limited audience, but are still processed and stored through Slack. They are not a confidential professional-advice channel or a substitute for your brokerage’s approved systems.
Messages may be subject to platform access limits, retention settings, deletion and administrative or legal processes. Do not use Slack or Thinkific as your only record of important business decisions.
Support information
We use support conversations to understand questions, provide guidance, manage follow-up and address service concerns.
Do not send passwords, banking details, identification, confidential transaction documents or unnecessary personal information about clients, candidates or colleagues.
We will obtain permission before using identifiable private conversations, submissions or testimonials in public marketing. We may develop general educational explanations from recurring topics without identifying the person or including confidential details.
EMPLOYER AND BROKERAGE ENROLMENTS
If an employer, agent or brokerage arranges access, we may receive your name, contact information, role, start date, assigned package, supervising contact and enrolment instructions.
The purchaser should inform you that your information will be provided to Aligned Admin for enrolment and administration.
Where reporting is part of an agreed package, we will establish the reporting scope with appropriate notice, consent or other lawful authority. Reporting may include enrolment, access status, participation, progress and completion information.
A purchase on your behalf does not automatically authorize unrestricted access to your assignments, detailed results, private support messages or other personal information.
We may receive departure or role-change notices to administer licences and access. Questions about information your employer independently collects or uses should also be directed to that employer.
PAYMENTS AND SUBSCRIPTIONS
Payments are processed through Thinkific and its connected payment services.
Payment providers collect the financial information required to complete transactions. Aligned Admin receives the billing, transaction and payment-status information those services make available for business administration.
Please do not send complete payment-card numbers, security codes, banking credentials or passwords through email, community posts, support messages or assignments.
Subscription records may include billing dates, renewal status, cancellation requests, failed payments and refunds.
WEBSITE AI ASSISTANT AND ENQUIRIES
Our website may offer an AI assistant identified as Jennifer.
When you use it, the information you type may be processed by the website service and the AI provider used to generate responses. Our current AI functionality uses OpenAI technology.
If you provide your name, contact details or enquiry, that information may be used to respond to you and follow up about Aligned Admin products or services.
Do not enter confidential client information, private transaction documents, passwords, financial credentials or other sensitive information into the assistant.
AI responses may be inaccurate. The assistant is not a confidential legal, tax or professional-advice service.
Contact [email protected] if you prefer to make an enquiry without using the AI assistant.
SERVICE PROVIDERS AND OTHER DISCLOSURES
We use third-party services to deliver products and operate the business. Depending on the service you use, these include:
• Thinkific for accounts, learning content, communities, checkout and product delivery.
• Google Workspace, Gmail, Drive, Docs, Sheets and Calendar for communications, resources, bookings and administration.
• Slack for mentorship and member messaging.
• Loom for recorded demonstrations and video delivery.
• Payment-processing services connected to checkout or invoicing.
• Mailchimp for newsletters and permitted marketing communications.
• Website hosting and technical providers.
• OpenAI for website AI-assistant functionality.
• Automation services, such as Zapier, where configured to route enquiries or administrative information.
We limit information provided to service providers to what is reasonably needed for the relevant purpose and take reasonable steps to assess and address privacy protection.
Service providers may also process information for their own purposes where described in their policies and permitted by law.
We may disclose information to professional advisers where necessary, with your authorization, or as permitted or required by law. We may also disclose information where reasonably necessary to investigate misuse, respond to lawful requests or establish, exercise or defend legal rights.
PROCESSING OUTSIDE CANADA
Our service providers may store or process personal information in Canada, the United States or other countries.
Information processed outside Canada may be subject to the laws of those countries, including lawful access by courts, law-enforcement agencies or other authorities.
Contact us if you would like further information about the service providers used for a particular Aligned Admin service.
COOKIES AND SIMILAR TECHNOLOGIES
Our website and service providers may use cookies and similar technologies for account sign-in, security, checkout, preferences, usage measurement and embedded content.
The information collected depends on the tools and settings in use. Third-party video players and other embedded services may process technical information when loaded or used.
You can manage cookies through browser settings and any consent controls available on the relevant platform. Restricting cookies may affect some functionality.
Where additional consent is required for optional analytics, advertising or similar tracking, we will seek it through appropriate controls. Acceptance of this policy is not blanket consent to unrelated tracking.
EMAIL AND MARKETING CHOICES
We may send receipts, access instructions, account notices, subscription information and communications reasonably necessary to deliver purchased products or services.
We obtain consent or rely on another permitted basis before sending promotional communications where required by law.
You can unsubscribe from marketing emails using the unsubscribe mechanism provided or by contacting [email protected].
Unsubscribing from marketing does not prevent necessary account, transaction or service communications.
SECURITY AND PRIVACY INCIDENTS
We use reasonable administrative, technical and physical safeguards appropriate to the information and services involved.
No electronic system can guarantee complete security. Protect your credentials, use appropriate account-security features and avoid including unnecessary personal information in messages or submissions.
If you suspect unauthorized access, accidental disclosure or another privacy incident involving Aligned Admin, contact [email protected] promptly.
We will assess the incident, take appropriate steps to contain and address it, and provide notifications or reports where required by applicable law.
RETENTION AND DELETION
We retain personal information for as long as reasonably necessary for the purposes described in this policy, including applicable legal, accounting, contractual and dispute-resolution requirements.
Different records may have different retention periods. Cancelling a membership or ending course access does not automatically delete purchase, learning or communication records.
Where applicable law requires information used to make a decision directly affecting an individual to be retained for a particular period, we follow that requirement.
When information is no longer required, we take reasonable steps to securely delete, destroy or anonymize it. Some information may remain in backups until replaced or deleted through the relevant retention process.
Third-party platform settings may affect retention and access. We cannot guarantee retrieval of messages or files that a platform has deleted or made unavailable.
ACCESS CORRECTION AND CONSENT CHOICES
Subject to applicable law and its exceptions, you may request:
• Access to personal information under our control.
• Information about how it has been used or disclosed.
• Correction of inaccurate or incomplete information.
• Withdrawal of consent where permitted.
• Deletion of information where applicable.
Send requests in writing to [email protected]. We may take reasonable steps to verify your identity before disclosing or changing information.
We will respond within the applicable legal timeframe. If an extension, limitation or refusal is permitted, we will explain it and identify available review options. Any permitted access fee will be explained in advance.
Withdrawal of consent or deletion requests may be limited by legal obligations or other lawful reasons for retaining information. If withdrawing consent affects our ability to provide a service, we will explain the consequences.
RECORDINGS AND TESTIMONIALS
The Practical Video Library contains prepared instructional recordings. Purchasing access does not mean that we record you through your camera or microphone.
If we propose recording a consultation, interview or other interaction involving you, we will explain the purpose and obtain any required consent before recording.
We will seek permission before publishing an identifiable testimonial, learner story, image or recording for marketing purposes.
